Dear One-Section National Organisations,
Another ESN year is coming to an end and it is time to look back and see how far we’ve come and to put all this into our annual Network analysis. And this time with the newly introduced questionnaire tailored for One-Section NOs!
Why do we do this?
The National and Section Questionnaires are one of our strongest tools to understand the reality of our Network - its strengths, its weaknesses, and most importantly, its needs. It serves as a consultative tool that helps us shape the services and support we provide to the Network from the international level. The power lies in the data, and the power lies in the numbers.
Your input complements the needs analysis done for each event to shape agendas, and helps define the priorities and direction in which our Organisation is developingBased on last year’s submissions, we published the Section Questionnaire Reports, the National Questionnaire Report and Regional Reports, that are available on the ESN Wiki. The results also strengthen our external advocacy efforts and help us showcase the impact and reach of our Network to key stakeholders. Help us represent you and support you better!
Based on the feedback received, we have introduced this new questionnaire with questions tailored to your unique reality of working as both a National Organisation and a Section. We have carefully selected questions that are relevant to your work, combining elements from both the Section and National Questionnaires.
Please keep in mind that completing the One-Section Questionnaire is mandatory to fulfil your membership requirements, both as a Section and as a National Organisation. Failure to submit the form by the deadline will result in a voting rights suspension for your National Organisation, and an official warning for your Section.
What do the questionnaires contain?
The questionnaires are divided into 9 individual parts:
- Part I - Administrative Information
- Part II - Human Resources and Membership
- Part III - Activities and Services
- Part IV - Stakeholders and Grants
- Part V - Education and Mobility
- Part VI - Finance, ESNcard and Partnerships
- Part VII - Promotion and Communications
- Part VIII - IT Tools
- Part IX - International Resources
Based on the feedback received from previous editions, all questions have been reviewed to ensure they are clear, relevant, and that the information we gather serves a clear purpose.
What will you need to fill in the questionnaire?
Here’s a checklist to help you gather the information required in the forms:
- Proof of legal registration
- Official documents of your Section (Statutes and Internal Regulations)
- Volunteer data (e.g. gender, background, nationality)
- Details about your events and other activities
- Social media details
- Annual budget and financial report (if available)
- ESNcard distribution figures and related partnership information
- Data from your Higher Education Institution(s) - please contact them in advance to request student figures
- GDPR compliance information
How are we going to do this?
- In order to have the best overview possible, we are asking Board members to fill in the questionnaire. To access and fill in the form you must have a “Board member” role in your National Organisation (not only in the Section) assigned to you on ESN Accounts.
- The questionnaire refers to the academic year of 2024-2025.
- We highly recommend taking this opportunity to include the questionnaire in your Board transition process, if possible. Filling in the form together with your predecessors or successors can serve as a valuable knowledge transfer moment. You can use the overview spreadsheet to go through the different sections and topics, and even leave comments about your Sections’ work and ESN in general.

- We prepared a spreadsheet (Question overview spreadsheet) so you can have a clear overview of what questions to expect and you can use them to prepare the answers before filling in the online questionnaire. Please keep in mind that we do NOT accept filled-in spreadsheets – you need to fill in the online questionnaire on the platform.
- Check the FAQ (link) for any questions you might have.
- The Questionnaire is solely submitted through the forms.esn.org platform. Avoid filling in the questionnaire at the last minute, since technical delays may result in losing the deadline for submissions.

Who can fill it out?
- Each part is independent of the others and can be filled out by different Board members.
- The name of each part should give you an indication as to who from your Board would be most knowledgeable to fill it out.*
- To access and fill in the form you must have a “Board member” role in your National Organisation (not only Section) assigned to you on ESN Accounts. If you don’t have it, get in touch with your Board colleagues, and they will assign you roles - but please do not leave it for the last moment!
*E.g. President for the Education and Mobility part, Treasurer for the Finance and ESNcard part, PR/Communications responsible for Promotion and Communications, and so on. It is a team effort!
How to submit the questionnaires?
- Keep in mind that answers are not editable on the platform! Once you click on the SUBMIT button in each of the different parts, there is no possibility to go back!
- Be aware that the questionnaire is complete ONLY if all parts are filled in.
THE DEADLINE TO FULLY SUBMIT THE QUESTIONNAIRE IS THE 25th OF JULY 2025 AT 23:59 CEST.
The results will be analysed and interpreted by the Network Committee’s Analysis Team. The report is expected to be published at the beginning of the 2025/2026 academic year.
